Making the file hang together
The flight reservation is only one document, but it is the one that dates everything else. Three things should agree with it:
- Accommodation covering every night between arrival and departure. Gaps invite questions.
- Travel medical insurance valid for the whole period, meeting the minimum cover required for Schengen visas.
- Proof of means of subsistence proportionate to the length of stay shown on the itinerary.

What the reservation must show
- Your name exactly as printed in the passport, including both surnames where your passport shows two
- A booking reference that can be verified with the operating airline
- Outbound and return segments with flight numbers, dates and times
- Dates inside the period you are requesting on the form
Spanish passports and many Latin American ones carry two surnames. If yours does, both must appear on the booking in the same order. A record showing only one surname is a mismatch, and mismatches are the single most common reason a document gets queried.
Choosing the validity window
Spanish consulates in high-demand countries can take considerably longer than the indicative processing time during peak season. Work backwards from that reality: the reservation has to be live when someone actually opens your file, not only on the morning of your appointment.
For most applicants that means the 7-day or 14-day window. The 48-hour option exists for different situations: a same-day appointment, or proof of onward travel demanded at check-in.
Where a reservation is renewed to keep it live, the booking reference can change. Submit the latest itinerary you have been sent and discard earlier ones.
Being straight about what this is
What you receive is a genuine airline reservation that has not been paid for or issued as a ticket. It carries a real reference, it can be looked up while it is live, and it expires by itself. There is nothing to cancel and no fare to refund.

Families, minors and group applications
Spain is a common destination for family trips, and files covering children need more than one extra document. A minor travelling with both parents is straightforward, but a child travelling with one parent or with relatives usually needs a notarised authorisation from the non-travelling parent or parents, plus birth certificate evidence of the relationship.
The flight reservation matters here in a way single-applicant files do not face. Every traveller in the family should appear on a booking, with each name exactly as written in that person's own passport. Children's passports frequently carry a different surname order from a parent's, and a booking that copies the adult's format for everybody creates a mismatch across the whole file.
Where a group books on one record, list every passenger on the itinerary you submit rather than sending the same reference with only the lead name visible. Consular staff should be able to find each applicant on the document attached to their own file.
